Preparing Packaging Artwork for a Private-Label Broom Order
Private-label artwork moves from buyer design to production files, print proofs and a physical product. Each handoff can introduce a version mismatch, incorrect barcode, altered color or lost legal copy unless the approval trail is explicit.
Treat artwork as a controlled production input
Sending a logo image to a supplier is not the same as releasing print-ready packaging. Fonts, linked images, color references, dielines and barcode data can be lost or altered between teams. Build an artwork handoff that identifies source file format, current revision and the person responsible for any missing assets. The printer's technical requirements should be checked for the actual packaging format; a generic bleed or file setting may not apply.
Define the source files starting point
Agree which design files and fonts can be supplied, whether editable source art is needed, what print layout and bleed specifications the printer requests, and who signs copy and final proof. Treat precise print requirements as vendor-specific rather than universal.
Checkpoints that connect the brief to evidence
| Source files checkpoint | Define or request | What still needs discussion | Evidence to retain |
|---|---|---|---|
| Source files | List native format and linked assets | Missing fonts alter layout | Design handoff checklist |
| Copy | Verify names, claims and languages | Unsupported text creates risk | Buyer/legal review |
| Print layout | Ask printer about bleed and dieline | Templates may differ | Printer proof |
| Identification | Validate barcode and SKU | Codes can be mismatched | Buyer scan check |
| Release | Freeze file hash and approver | Obsolete version may be printed | Signed proof and archived file |
Approve a physical or suitable production proof
Read copy against the signed SKU list and verified destination-market requirements. Position barcodes, language panels and claims on the actual pack mock-up so folds, ties or curved broom surfaces cannot conceal important information. Give each approved proof a revision reference or file hash. If a designer sends a late cosmetic change, determine whether it requires renewed copy, barcode or print approval rather than silently replacing the released source file.
A well-managed printer handoff includes both a release and a withdrawal path. Designers may send multiple files with names such as 'final' or 'final-new'; that language is not sufficient version control. Identify the approved package, source file, proof, date and owner in one register. When the brand changes an address, barcode or claim, formally retire the old file before transmitting a replacement to production.
A scenario for copy review
Consider this illustrative scenario: A buyer revises a logo size after reviewing a digital layout. The design agency assigns a new version, checks the barcode and languages, obtains a printer proof and records the buyer’s approval before the packaging is printed for the relevant broom SKU.
Final checks: source files and release
- Source files: For this project, what would count as acceptance of the proposed step “List native format and linked assets” rather than an informal preference?
- Print layout: The record flags “Templates may differ” as a possible concern. Who will review that possibility before approving the specification?
- Release: Who has authority to release the step “Freeze file hash and approver,” and how can the resulting record be retrieved later?
Limits of the proposed approach
Digital preview colors are not assured print colors; file format requirements depend on equipment and supplier. Do not guess barcode registration or country-specific declarations. A verbal “approved” message lacking file version is a weak release control.
The end product is an unambiguous file handoff: the printer knows which files to use, the supplier knows which item they describe and the brand owner knows what wording it has approved.
